4. Approval Lifecycle

Swimlane with four lanes: You (assignee), System, Approver, Outcome. You check whether the task has an approval line; if not, you set Completed. If yes, you set Approval Required. The System resolves the approvers for the stage from the line — reporter, a named person, or the org hierarchy — then applies substitutions: an active delegation swaps in the delegate, and if the approver would be you it auto-approves. The Approver sees the request in My Tasks, Approvals and approves or rejects; no decision by the timeout triggers the escalation path. Outcomes: approved goes to Completed, rejected goes back to In Progress, escalation goes to the escalation target or final action. How an approval request travels, including delegation swaps, auto-approve, and escalation.

5. Before Sending or Responding to an Approval

  • The correct Approval Line was selected for the task.
  • All required work is complete before requesting approval.
  • Relevant comments and supporting attachments are added.
  • The approver has enough information to make a decision.
  • If rejected, the rejection reason has been addressed before resubmitting.

6. Common Issues

Best practice

Send a task for approval only after the task record contains enough comments and supporting evidence for the approver to review it without needing separate follow-up.
